There is a reason Casa Real at Ruby Hill Winery is one of the most beloved vineyard properties in Pleasanton, and collaborating with their on-site team is an absolute highlight for our Bay Area wedding planning team. Their staff is communicative, organized, and genuinely supportive, creating a dependable foundation that allows vendor teams to do their best work.

Looking for a Bay Area wedding planner to help create a wedding day that feels like you?

Navigating a large vineyard property requires intentional logistics so your friends and family spend more time celebrating and less time waiting. By refining access times, room transitions, and load-in schedules, our team ensures the operational side of your day runs like clockwork. The result is a polished, warm environment where everyone can just enjoy the party.

Vendor load-in and timeline strategy at Casa Real

Getting married at Casa Real offers a beautiful Mediterranean setting, but the logistics of vendor access require a proactive approach.

Non-preferred vendors are allowed access exactly 2.5 hours prior to the event start time. For a 05:00 pm ceremony, load-in begins right at 02:30 pm. Our full-time time creates and executes load-in schedules, ensuring every florist and rental team knows exactly where to go.

Approved vendors can arrive onsite as early as 08:00 am. We really appreciate this flexibility, and it means things like a floral installation above the dance floor can be in place before the rest of your vendor team arrives onsite. If you are opting for a ceiling installation (including florals, lights, or chandeliers), you will need to ensure Casa Real's scissor lift is on your invoice.

By managing these strict timelines on the back-end, we prevent any setup delays, meaning you and your partner can relax in the suite without a single interruption.

Guest navigation and room transitions at Casa Real

Moving your guest count from the outdoor sun garden into the amber room or grand salon requires subtle, intentional direction.

The venue is expansive enough to comfortably hold well over 300 people, which means traffic flow is a major priority. For a smaller guest count, we often utilize an 8' x 10' drapery setup or ivory curtains to section off the grand hall, keeping the cocktail hour feeling warm and intimate. We create clear floor plans to guide traffic naturally from the ceremony to the bar, minimizing wait times and getting everyone to the dance floor faster.

The team at Casa Real also offers so many additional touches to keep your day flowing and your guests happy. When guests arrive they don't feel like they're waiting for the ceremony to start, because they have a welcome beverage in hand and space to chat with other guests. At the end of the night they aren't leaving early because they're hungry and need a fast food burger, because Casa Real has a wonderful burger and fry bar as a late night snack! While these are add-ons that you definitely don't need if they don't align with your vision, it's nice to know everything can be handled by their in-house team.

Shuttle and parking logic at Casa Real

Getting your group to and from Pleasanton smoothly is a crucial part of the guest experience. While the venue has ample parking on site, we recommend budgeting for a dedicated shuttle for out-of-towners. Setting up a service to and from a hotel block in Pleasanton, Livermore, or Dublin takes a lot of the guesswork out of getting to the venue for your guests.

Consolidating guest transportation ensures everyone arrives safely and exactly on time, so we never have to push your ceremony start time back. It also makes the end of night departure that much easier for your guests. It's important to keep in mind that if your guest count reaches to 275, the venue will require you utilize a valet service.

Why our team loves weddings at Casa Real

At oso events we prioritize a wedding experience that is not just focused on the day-of, but the process leading up to it. We can tell that the team at Casa Real feels the same way. They offer planning materials that are intentional and easy to use, and they place such an emphasis on a seamless stress-free day. They make couples feel taken care of, and as planners, we really value that level of commitment from a venue.

We also can't get over the many options to customize the space. We've mentioned the ceiling installations so much already, but it's just because it makes such an impact on the space! With so many things taken care of in-house from food and bar, to tableware and linens, you can focus your efforts on those stunning decor elements and personal touches for your guests.

Frequently asked questions

What is the weather backup plan for ceremonies at Casa Real?

If high heat or rain impacts your ceremony in the Sun Garden, the venue transitions the service indoors to the Amber Room. The space features high ceilings, ambient lighting, and a grand fireplace, so your indoor alternative feels just as intentional as an outdoor vineyard setting. We set a firm weather check-in window with the venue team early in the day to make the call before guests arrive, keeping the transition calm and organized behind the scenes.

How do catering and bar requirements work at the property?

Casa Real handles all food and beverage service through their dedicated in-house culinary team with an exception for cake and desserts (though they do offer dessert options). You can bring in an outside caterer for a fee (which will be outlined in your agreement), or this fee can be waived if you bring in a caterer from their preferred list. This offers great flexibility, especially if you have cultural preferences for your wedding dinner.

When can we access the dressing suites on site?

The venue provides suite access two and a half hours prior to your ceremony start time. For a 05:00 pm ceremony, load-in and dressing suite access opens at 02:30 pm. Because this window is designed for final touch-ups and stepping into attire, we coordinate hair and makeup at a nearby hotel in Pleasanton, Livermore, or Dublin. This ensures the wedding party arrives fully prepped, allowing you to walk into the suite relaxed and step straight into pre-ceremony portraits.

We would love to hear about your vision and see how we can bring it to life. Let's chat through the details! Reach out at oso.events/contact.
